Thank you for choosing us to photograph something that matters to you. These terms exist so that we both know where we stand — what you are paying for, what we will deliver, and what happens if plans change. Please read them before you book. If anything is unclear, ask us first: hello@fificapturestudio.com.
In these terms, “we” and “us” mean Fifi Capture Studio. We’re an online-based studio without a fixed business premises — any formal notice under these terms should be sent to hello@fificapturestudio.com. “You” means the person who makes the booking and is responsible for paying for it.
Your booking is confirmed when we have received your deposit or full payment, and not before. Until then the date is not held, however far the enquiry has progressed. Dates are allocated in the order payments arrive.
The price you see at checkout is the price you pay. It includes your package, any add-ons you selected, and travel where applicable. There is nothing further to pay unless you ask us for extra work later.
Some bookings cannot be completed online — events over 200 guests, anything more than 100 miles from Cambridge, destinations outside the UK, and event types not listed on our booking form. These come to us as enquiries and we will quote you individually.
Deposit. For most bookings you may pay a deposit of 25% of your total, with the balance due later. The deposit is non-refundable. It covers holding your date and turning away other work for it — a cost we incur the moment we accept your booking, and cannot recover afterwards. That 25% is non-refundable whether you pay it as a deposit or pay in full up front.
When the deposit is not available. The full amount is payable at the time of booking if your package is under £500, or your event is fewer than 45 days away. In both cases there is nothing further to pay afterwards.
Balance. Your balance is due 30 days before your event. We will email you before then. You can pay it at any point before the deadline through your client portal, and you do not need to wait for a reminder.
Paying in instalments. If you would like to spread the balance, you can make part-payments through your portal at any time before the deadline. The smallest part-payment is £50, or 10% of your outstanding balance if that is more. We cannot accept a payment that would leave less than that amount owing — at that point please settle the balance in full.
We would much rather hear from you than chase you. If money is difficult, or something has happened, tell us — we will do what we reasonably can, and an agreed arrangement stops all of the below.
If we hear nothing, this is what happens:

We stop at 14 days because that is realistically the last point at which someone else could book the date. Holding it longer would cost us the booking and the replacement both.
If a booking is cancelled for non-payment we will keep what you have already paid, in line with section 5. We will not pursue you for the remainder.
Plans change. You may move your booking once at no charge if you tell us more than 60 days before your event, subject to our availability on the new date. Your deposit and any payments move with you.
Your new date restarts the payment timetable: the balance falls due 30 days before the new date.
If we are not available on the date you want, you may choose another available date or treat the booking as cancelled under section 5. Later changes, or a second change, are treated as a cancellation and rebooking.
Cancellations must be sent to us in writing, by email. The charge depends on how much notice you give:

| Fewer than 30 days | 100% of your total, as this is the point your balance falls due. |
A minimum charge applies of the greater of 25% of your total or £95. Payment processing fees are deducted from any refund, as we do not recover them.
Any refund due is paid to the card or account the payment came from, within 14 days.
Your right to cancel online bookings. Because we are booked to provide services on a specific date, the usual 14-day cooling-off period for online purchases does not apply to your booking. This is a recognised exception under consumer law for date-specific leisure services. The cancellation terms above apply instead.
In the unlikely event we cannot attend, you receive a full refund including your deposit, and we will do everything we reasonably can to find you a replacement photographer of comparable standard.
If illness, accident, equipment failure or circumstances beyond our control prevent us attending, or reduce what we can capture, our liability is limited to a refund of what you have paid, in proportion to what was not delivered.
Travel is included in Cambridge and within 20 miles. Beyond that we charge £40 for 20–50 miles and £120 for 50–100 miles, added on the booking form before you pay. Over 100 miles, or outside the UK, we quote individually rather than take a booking online.
Where a venue charges for parking or access, that cost is passed on to you at cost.
Your booked time starts at the agreed time, not when everyone is ready. Please let us know in advance of anything that affects access — venue rules, permits, restricted areas, or a coordinator we should liaise with.
If you would like us to stay longer on the day we will do so where we can, charged at our standard hourly rate and payable within seven days.
Some venues restrict where photographers may stand, and some ceremonies do not permit photography at all. We will always work within those rules, and cannot be responsible for images we were not permitted to take.
We reserve the right to stop work and leave if anyone at your event behaves abusively or threateningly towards us, or if we are asked to work somewhere genuinely unsafe. In that situation no refund is due.
When you get them. We will have your edited images ready within:

Between May and September this may take up to two weeks longer. For weddings we will send you a small preview within 72 hours.
Your gallery. Your images are delivered through a private online gallery, available for 30 days from the day we send it. Please download everything you want within that time and keep your own copy — the gallery is a delivery method, not permanent storage.
Rights. Copyright in the images remains with us. You get full personal-use rights: print them, share them, send them to family, put them wherever you like in a personal capacity. Commercial use, resale, or supplying them to a business, publication or supplier needs our written permission first.
Our portfolio. We may use a small selection of your images in our portfolio, on our website and on social media. If you would rather we did not, tell us — at any time, before or after — and we will not. You do not need to give a reason. Where a booking includes photographs of a child, see our Safeguarding Policy and Child Photo Consent for how this applies.
We collect only what we need to photograph your event and take payment for it. See our Privacy Policy for the full detail of what we hold, why, and how to ask us to correct or delete it.
Please tell us as soon as possible and we will do our best to put it right. Most things are fixable if we hear about them early.
We must provide our services with reasonable care and skill, and nothing in these terms limits that, or our liability for death or personal injury caused by our negligence, or for fraud. Your legal rights as a consumer are unaffected.
Beyond that, our total liability for any booking is limited to the amount you paid for it. We are not liable for indirect losses — the cost of an event itself, travel, or arrangements made around it.
These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.

When you enquire or book, we collect your name, contact details, event details (date, venue, guest numbers, package chosen) and a record of your payments. This is the minimum we need to plan your session, take payment and deliver your images. Where a booking includes photographs of a child, we also hold whatever our Safeguarding Policy and Child Photo Consent describe, and no more.
Card and bank details are handled entirely by Stripe and PayPal at the point you pay. They never reach us or pass through our website — we only ever see that a payment was made, its amount, and a reference for it.
We do not sell your information, and we do not share it with anyone except the payment providers above, and any supplier directly involved in delivering your booking (for example a second shooter or an album printer), and only what they need to do that job.
We keep your booking records and images for 2 years after your event, after which they are deleted. Where the law requires us to keep financial records for longer (for example for tax purposes), we keep only what that requires.
You can ask us for a copy of what we hold about you, ask us to correct anything inaccurate, or ask us to delete it, by emailing hello@fificapturestudio.com. We will respond within one month. Some information — such as records of a completed payment — may need to be kept for a period even after a deletion request, where the law requires it.
Our website uses a small number of cookies needed to make the client portal and booking forms work, and, where you have consented, cookies that help us understand how the site is used. You can control non-essential cookies through the banner shown when you first visit.
If you are unhappy with how we have handled your information, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
We may update this policy from time to time. The version shown here is always the current one.
This policy sets out how Fifi Capture Studio protects children’s welfare and privacy whenever a booking involves photographing anyone under 18 — most commonly family portraits, birthday sessions, christenings and naming ceremonies. It applies alongside our Child Photo Consent and our Privacy Policy.
A child’s welfare is always our first consideration on a shoot. Nothing in a booking — the schedule, the shot list, a client’s preference — takes priority over a child’s comfort and safety in the moment.
Before we photograph a child, a parent or legal guardian must give consent — see our Child Photo Consent. This covers taking the photographs themselves and, separately, whether we may use any of them in our portfolio or on social media; a parent or guardian can withdraw that second consent at any time, for any reason, without needing to give one.
We hold only what we need to run the session safely and deliver the images: a child’s first name and, where relevant to planning the shoot, their approximate age. We do not collect anything beyond this, and we do not ask for it.
Images are seen by the small team working on your booking, and are delivered to the account holder through the private client gallery described in our Booking Terms. They are not shared with anyone else, and are not used for portfolio or marketing purposes unless separately consented to as above.
Images and booking records are held for the same period set out in our Privacy Policy — 2 years after the event — after which they are deleted. Your private gallery link is available for the same 30 days described in our Booking Terms.
A parent or guardian is present throughout any session involving a child. A child is never photographed alone, one-to-one with a team member.
If you ever have a concern about how a child was treated during a session, please contact us directly at hello@fificapturestudio.com. If you believe a child is in immediate danger, please contact the police or your local authority’s children’s services directly rather than waiting to hear from us.
Sessions are led personally by Fifi Capture Studio’s founder. Where an assistant or second shooter helps on a booking, they work under direct supervision throughout — no team member is ever left alone with a child. If that changes as the studio grows, any team member working unsupervised with children will hold a valid DBS or enhanced disclosure check before doing so.
This policy is reviewed annually to make sure it still reflects how we actually work.
This consent applies whenever a booking includes photographing a child, alongside our Safeguarding Policy and Privacy Policy. It is separate from, and in addition to, the general Booking Terms that apply to the booking itself.
By agreeing to this, you confirm that you are the parent or legal guardian of the child or children who will be photographed, or that you otherwise hold parental responsibility for them, and that you are authorised to give this consent on their behalf.
We will photograph your event or session as booked, edit a selection of the images to our usual standard, and deliver them to the account holder through your private client gallery, in line with our Booking Terms.
Taking the photographs and using them in our portfolio are two different things, and this consent covers both separately. You may agree to the first without agreeing to the second. If you agree, we may use a small selection of images featuring your child in our portfolio, on our website, or on social media. You can withdraw this specific consent at any time, for any reason, by telling us — we do not need a reason, and it does not affect the rest of your booking.
What we collect about a child, who can see it, and how long we keep it, is set out in full in our Safeguarding Policy and Privacy Policy. In short: we collect the minimum needed to run the session, only our own small team ever sees the images, and everything is deleted after the retention period described there.
This consent is recorded against your specific booking, not just your account — if you make more than one booking with us, each is treated on its own terms.
